Office Manager
Job Description
Talis Group’s client is a global leader in industrial construction, engineering, and equipment manufacturing, providing turnkey solutions for piping systems, fabrication, containers, and on-site installation. Their Jeffersonville, Indiana facility is seeking an experienced Office Manager to support daily office operations, payroll, assist with HR administration while supporting project documentation, logistics, and vendor coordination – ensuring clear communication between field crews, management, vendors, and subcontractors.
This is a full-time, direct hire position, with a salary range of $60k-$75k (based on experience) plus full benefits. Hours are Monday-Friday, onsite.
Highlighted Duties:
- Manage day-to-day office operations and serve as the primary administrative point of contact for project teams.
- Process payroll and maintain accurate employee timesheets, attendance, & labor reports.
- Oversee onboarding and HR support, including new hire paperwork, and orientations.
- Maintain accurate & organized project documentation, permits, and safety training records.
- Track and update subcontractor COIs, W-9s, and access badges for project sites, and certifications.
- Prepare and process RFI’s (Request for Information), submittals, Purchase Orders, change orders, and invoices.
- Support budget tracking, expense reporting, and financial reconciliations.
- Support scheduling, logistics coordination, and communication between project managers, vendors, and field personnel.
- Draft and distribute meeting minutes, correspondence, and project updates.
- Order office and field supplies and perform other various tasks as needed.
Highlighted Requirements:
- 3+ year’s of administrative experience in construction, industrial, or manufacturing environments.
- Strong proficiency in Microsoft Office Suite (Word and Excel required.)
- Experience processing payroll and supporting HR functions (onboarding and compliance.)
- Experience using Procore, Bluebeam, ProjectSight or similar project/document management systems.
- Excellent organizational, time management, and multi-tasking abilities.
- Strong written and verbal communication skills, with high attention to detail.
- Ability to thrive in a fast-paced, deadline-driven environment.
