Part-Time Office Administrator
Job Description
Are you a highly organized, detail-driven multi-tasker who enjoys keeping things running smoothly behind the scenes? Talis Group’s client is a well-established distributor in the East End of Louisville. They are seeking a Part-Time Office Administrator to support the day-to-day operations & bring positive energy to the workplace. This is a pivotal, hands-on role that offers a variety of responsibilities-from scheduling & bookkeeping to keeping the office culture fun & engaging. This is a part-time role, consisting of 20-30 hours per week, working Monday-Friday with flexible scheduling. The pay is $22-$23/hour.

Highlighted Duties:
Policy & Procedure Management
- Maintain clear, organized office policies & searchable tutorials.
- Identify when new manuals are needed & assist with keeping existing materials updated.
Executive Assistance
- Support the President by managing calendar, inbox, & communications.
- Help delegate & track tasks to improve overall efficiency.
- Track birthdays, anniversaries, team milestones, and organize events & celebrations.
- Maintain the company photo album & contribute creative ideas for team bonding.
- Manage time-off requests & maintain the office calendar.
- Serve as a backup for answering phones, taking orders, & assisting with order processing.
- Coordinate with vendors, maintain a tidy office environment, assist with onboarding, & generate reports as needed.
- Track & manage office & warehouse supplies.
Bookkeeping & Financial Administration
- Enter vendor invoices & assist with monthly account reconciliations.
- Investigate & resolve billing discrepancies & track vendor credits.
- Prepare monthly vendor tracing reports.
- Monitor open orders & support order flow.
Highlighted Requirements:
- High School Diploma/GED required.
- Proficient in Microsoft Word, Excel, and Outlook.
- Prior experience using ERP software a plus.
- 3+ years of administrative office experience required.
- Prior experience with inventory tracking & basic bookkeeping skills.
- Excellent organizational and time-management skills with attention to details.
- Strong verbal and written communication skills.
- Ability to juggle multiple tasks in a fast-paced environment.
- Positive, upbeat attitude with a team-player mindset.
